Greetings!As I take the reigns of the Clerk of the Roster, it strikes me as a good time to remind folks about what all I need in order to get authorization cards sent out in a timely fashion and keep the CoR database up-to-date.
First and foremost (and noticeably lacking since I’ve stepped up), I need Marshals-in-Charge at events to send me the Marshall Activities Report - Authorizations form. I need this form to verify that folks claiming to have authorized at a given event actually did so. As much as we all believe in honor and chivalry, this kind of double check is still a necessary part of the process. To help remind folks to send this form in, I’ll be posting monthly reminder emails to the Northshield Armored Combat Marshal list and to the Northshield Rapier Marshal list listing events I’ve NOT received paperwork for.
Second, most of you know this drill, but to get your authorization card, I need a copy of the bottom half of the Authorization Tracking Form (please remember to have the marshals sign the form and indicate that you passed!), a copy of your membership card and photo ID, and a self-addressed, stamped return envelope. If you are re-authorizing, please indicate if you need a new card. If you would like email confirmation that I’ve received your paperwork, please so indicate when you send in your paperwork.
Third, for SECONDARY authorizations, I still need you to send in the bottom half of the Authorization Tracking Form in order to update the database with your current set of authorizations. Should you ever lose your authorization card, the database is the primary source for determining which authorizations you have when your card is re-issued; if I don’t have record of it, you’ll have to reauthorize.
Also, the change in office also strikes me as a good time to make sure that the CoR database is up-to-date. To achieve this, I will be holding “office hours” at several upcoming events and encourage any and all authorized combatants to stop by and make sure their information is up-to-date (address, phone number, email address, current authorizations, etc.). Newly authorized combatants can also turn in their paperwork and pick up their authorization cards during office hours. I hope to work out a system to make this process quick and painless, so please do stop by and check in. Alternatively, since it’s unlikely I’ll be able to make it out to the Western region this spring (Hertzkreig is a very tentative possibility), group marshals can send me a copy of their group rosters to update information for fighters in their area.
